Tietosuojaseloste — ROTTA ry:n haalaritilausrekisteri
Laadittu 28.8.2026. EU:n yleinen tietosuoja-asetus (2016/679) artiklat 13 ja 14.
1. Rekisterinpitäjä

3. Käsittelyn tarkoitus ja oikeusperuste
Henkilötietoja käsitellään haalaritilausten vastaanottamiseen, tilausten kokoamiseen, maksujen seurantaan, haalarien saapumisesta ja noudosta tiedottamiseen sekä jäsenetuun oikeuttavan jäsentason tarkistamiseen.
Oikeusperusteet:
- Sopimuksen täytäntöönpano (tietosuoja-asetus 6 art. 1 b): tilaus-, koko-, yhteys- ja maksutiedot.
- Rekisterinpitäjän lakisääteinen velvoite (6 art. 1 c): kirjanpitolain mukainen tositteiden säilyttäminen.
- Rekisterinpitäjän oikeutettu etu (6 art. 1 f): jäsentason tarkistaminen jäsenrekisteristä oikean hinnan määrittämiseksi.

Puhelinnumeroa, jäsennumeroa, oppilaitostietoja tai painatustekstejä ei kerätä. Arkaluonteisia tietoja (tietosuoja-asetus 9 art.) ei kerätä.
5. Säännönmukaiset tietolähteet
Tiedot saadaan tilaajalta itseltään tilauslomakkeella. Jäsentaso tarkistetaan Tradenomiopiskelijaliiton ylläpitämästä jäsenrekisteristä.
6. Tietojen vastaanottajat ja luovutukset
- Haalarien valmistaja Opiskelijahaalarit.fi ei saa henkilötietoja. Valmistajalle toimitetaan ainoastaan tilattujen haalarien kokokohtaiset kappalemäärät ilman tilaajien nimiä tai muita tunnistetietoja.
- Google Forms (Google Ireland Limited) toimii lomakealustana ja henkilötietojen käsittelijänä ROTTA ry:n lukuun.
- PayPal toimii maksupäätepalvelun tarjoajana ja käsittelee maksutapahtumatietoja omana rekisterinpitäjänään omien tietosuojaehtojensa mukaisesti.
- Tietoja ei luovuteta markkinointitarkoituksiin eikä muille kolmansille osapuolille.
7. Tietojen siirto EU:n tai ETA:n ulkopuolelle
Google ja PayPal voivat käsitellä tietoja myös EU:n ja ETA:n ulkopuolella. Siirrot perustuvat Euroopan komission hyväksymiin vakiosopimuslausekkeisiin ja palveluntarjoajien omiin tietosuojasitoumuksiin.
8. Tietojen säilytysaika
- Tilaus- ja yhteystiedot: poistetaan, kun haalarit on toimitettu, maksettu ja noudettu, kuitenkin viimeistään 31.12.2027.
- Maksuun liittyvät tositetiedot: säilytetään kirjanpitolain mukaisesti kuusi (6) vuotta sen kalenterivuoden lopusta, jonka aikana tilikausi päättyy.
9. Rekisterin suojauksen periaatteet
Tiedot säilytetään sähköisesti ROTTA ry:n omalla Google-tilillä salasanasuojattuna. Pääsy tietoihin on ROTTA ry:n hallituksen jäsenillä siinä laajuudessa kuin tilauksen toteuttaminen edellyttää. Manuaalista aineistoa ei muodosteta.
10. Rekisteröidyn oikeudet
Rekisteröidyllä on oikeus:
- saada pääsy itseään koskeviin tietoihin (15 art.)
- pyytää virheellisen tiedon oikaisemista (16 art.)
- pyytää tietojen poistamista (17 art.)
- pyytää käsittelyn rajoittamista (18 art.)
- vastustaa oikeutettuun etuun perustuvaa käsittelyä (21 art.)
- siirtää tiedot järjestelmästä toiseen (20 art.)
Pyynnöt osoitetaan osoitteeseen puheenjohtaja@rotta-ry.fi. Pyynnön esittäjän henkilöllisyys tarkistetaan ennen pyynnön toteuttamista.
11. Oikeus tehdä valitus valvontaviranomaiselle
Rekisteröidyllä on oikeus tehdä valitus tietosuojavaltuutetun toimistolle (tietosuoja.fi), jos hän katsoo, että henkilötietojen käsittelyssä rikotaan tietosuoja-asetusta.

2. Name of the register
Overall order register, autumn 2026.
3. Purpose and legal basis of processing
Personal data is processed in order to receive overall orders, compile the order, monitor payments, communicate about the arrival and collection of the overalls, and verify the membership level that entitles the customer to the member price.
Legal bases:
- Performance of a contract (Art. 6(1)(b)): order, size, contact and payment data.
- Legal obligation (Art. 6(1)(c)): retention of accounting records under the Finnish Accounting Act.
- Legitimate interest (Art. 6(1)(f)): checking the membership level from the membership register in order to determine the correct price.
4. Personal data processed
- Name
- Email address
- Membership level
- Overall size
- Payment details and payment status
Phone numbers, membership numbers, educational institution data and printed texts are not collected. No special categories of data (Art. 9) are collected.
5. Sources of data
Data is obtained from the customer via the order form. The membership level is checked from the membership register maintained by Tradenomiopiskelijaliitto.
6. Recipients and disclosures
- The manufacturer Opiskelijahaalarit.fi does not receive personal data. The manufacturer is provided only with the number of overalls per size, without customers’ names or other identifying information.
- Google Forms (Google Ireland Limited) acts as the form platform and as a processor of personal data on behalf of ROTTA ry.
- PayPal provides the card terminal service and processes transaction data as an independent controller under its own privacy terms.
- Data is not disclosed for marketing purposes or to other third parties.
7. Transfers outside the EU/EEA
Google and PayPal may also process data outside the EU/EEA. Such transfers are based on the standard contractual clauses approved by the European Commission and on the providers’ own data protection commitments.
8. Retention periods
- Order and contact data: deleted once the overalls have been delivered, paid for and collected, and in any case no later than 31 December 2027.
- Payment vouchers: retained for six (6) years from the end of the calendar year in which the financial period ends, as required by the Accounting Act.
9. Security of the register
Data is stored electronically in ROTTA ry’s own Google account, protected by passwords. Access is available to the members of ROTTA ry’s board to the extent required to fulfil the order. No manual records are created.
10. Rights of the data subject
The data subject has the right to access their data (Art. 15), request rectification (Art. 16), request erasure (Art. 17), request restriction of processing (Art. 18), object to processing based on legitimate interest (Art. 21), and to data portability (Art. 20).
Requests are sent to puheenjohtaja@rotta-ry.fi. The identity of the requester is verified before the request is fulfilled.
11. Right to lodge a complaint
The data subject has the right to lodge a complaint with the Office of the Data Protection Ombudsman (tietosuoja.fi) if they consider that the processing of their personal data infringes the GDPR.
